Beginning your meeting
Obtain the keyring from the rectory before 3:00 PM on the day of your meeting. For a weekend meeting, obtain the keyring from the rectory by 3:00 PM on Friday. The key fob will allow you access from the outside. Once inside, the key will allow you access to the meeting and conference rooms and to the storage area across from the meeting space. In the storage area, you will find a remote control for climate adjustment in the meeting room and also a plastic hand crank if you will be using the room dividers. If using the remote control, it must be placed very close to the thermostat to function.
Concluding your meeting
Kitchenette
There is a refrigerator, a sink, and a 50 cup coffee urn for your use. Plan on bringing all of the remainder of your needs – cups, plates, utensils, coffee and creamer/sugar, and any food items. Be sure to clean up after using the kitchenette area.
Room Dividers
If the large meeting space is going to be divided into two smaller spaces, you may pull the dividers (standing on the side of the large projection screen) and using the black plastic hand crank that you will find in the large storage closet across the hall.
Begin by pulling out the first set of dividers and pull them toward the window so that they are completely lined up at the bottom with the floor attachment. The lineup needs to be perfect with regards to the tongue in groove configuration. Once you are lined up properly, push HARD until the dividers push all the way to the end.
Then, pull the next set of dividers out and attach them firmly into the attachment at the base of the first dividers.
Take the last set of dividers and line them up with the second set. Then, take the plastic hand crank and insert it into the space at the end of these dividers. Turn counterclockwise until the doors are completely sealed.
IMPORTANT: Once the dividers are in place, the projector in the front room will be separated from the monitor in the back room so that two different presentations can play at the same time.
At the end of the meeting, to open the dividers, start by using the crank to retract the third set of dividers and then fold and pull them to the wall. Pull back on the middle dividers; when they are off the track, they will begin to fold and then you can push them to the wall. Do not force this. It will begin to happen at the right time. Finally, pull back on the first set of dividers and they will fold when they are off the track as well.
Please leave the hand crank in the storage area where you found it.
AV Equipment (a copy of these instructions is at the podium in the meeting room as well)
There is a large projector as well as a small monitor in the large meeting space. It is possible to use both of these for the same presentation when using the large meeting space. It is also possible to use the projector and monitor for separate presentations when the room dividers are in use.
There is an HDMI cable for your use. The cable is located in the pull-out tray in the podium. Please return them after use and be sure that the entire system is turned off at the end of your meeting.
There is one lavalier to use for the large meeting space; it is located in the pull-out tray in the podium. To use it, place your fingers on both tabs on the side of the lavalier and the front will pull down to open. The power button is located inside this panel. Note: If you are using the lavalier, the podium mic will also be automatically turned on. The presenter should put the lavalier on mute if he/she is close to the podium to avoid feedback. Please be sure that the lavalier is turned off after the presentation.
Touchpanel
TOUCH LOGO TO BEGIN: Touching the logo on the touchpanel enters the main control page but does not perform any functions until selected on the next page.
NOTE: If the divisible wall is fully extended/closed the rooms will be considered divided and the touch panel in the podium will control the functions of the larger room and the panel on the wall in the smaller room will control the functions of the smaller room. If the divisible wall is partially retracted/opened the rooms will be considered combined and the touch panel in the podium will control the functions of both rooms and the panel on the wall in the smaller room will be inactive.
PRESENTATION - DIVIDED (IF THE DIVISIBLE WALL IS CLOSED): Along the Selection Bar select Presentation for source and destination controls.
PROJECTOR: Toggles power to the projector. When the button is GREEN the projector is OFF and ready to turn ON. Pressing the button will power ON the projector and change the button to RED. When the button is RED the projector is ON and ready to turn OFF. The operating state of the projector will control the state of the projection screen. When the projector is ON the screen will extend down, when the projector is OFF the screen will retract up.
SOURCES: Sources are listed on the left side of the page as “Room PC”, “Podium HDMI” and “Podium VGA”. Destinations are listed on the right side of the page as “Projector” and “Speakers”. Selecting the source will toggle the source button so you can select a destination or destinations on the right. Selecting another source will toggle to that source where again you can select your destination(s) on the right.
NOTE: In-room source volume is selected by sending that source to the Speakers. All source volume control is controlled by the source itself simplifying where to adjust the volume for the user. This includes the Room PC with the volume control on the PC’s taskbar as well as a laptop presenting through the HDMI or VGA connection.
PRESENTATION - COMBINED (IF THE DIVISIBLE WALL IS OPEN): Along the Selection Bar select Presentation for source and destination controls.

AUDIO: Along the Selection Bar select Audio Control for microphone and source audio controls.
PODIUM MIC: Will control the in-room level of the Podium microphone. When the rooms are divided this microphone will only be presented in the room with the Podium. When the rooms are combined this microphone will be presented in both rooms. A volume control is present with the up and down arrows to the right of the status bar to increase or decrease the volume podium microphone. A status bar is to the left of the arrows and will raise a WHITE status bar with the level.
WIRELESS MIC: Will control the in-room level of the wireless microphone. When the rooms are divided this microphone will only be presented in the room with the Podium. When the rooms are combined this microphone will be presented in both rooms. A volume control is present with the up and down arrows to the right of the status bar to increase or decrease the volume podium microphone. A status bar is to the left of the arrows and will raise a WHITE status bar with the level.
PROGRAM: Will control the in-room level of the various sources. The system is designed to rely on the source volume level for overall adjustment, but this control will give the user the ability to bring the level up higher should the room environment require it. This setting will reset to a default level each time the room is shutdown and restarted.
SYSTEM SHUTDOWN: Enters the shutdown page but does perform any functions until selected on the next page.
YES: Will power off all displays and mute the overhead speakers.
NO: Will return to the main control page.
NOTE: If the rooms are divided this will only control the room with the podium. If the rooms are combined it will control both rooms.
